Conference Approval Guidelines

If you are planning an early childhood or school-age care conference event, the Minnesota Center for Professional Development (MNCPD) can help you advertise conference workshops and document the training hours for the practitioners attending the event. Approved training can be used by practitioners to advance on the Career Lattice.

Conference: A training event offering concurrent sessions or lasts four hours or more, in which people with a common interest participate in discussions or listen to lectures to obtain information. No more than eight (8) hours per day of Minnesota state approved training may be granted for a conference.

If you are seeking approval for a conference, please follow these steps:

  1. Register as a Training Sponsor Organization on the MNCPD Registry at www.mncpd.org.
  2. Contact MNCPD by email MNCPD.Registry@metrostate.edu or phone 651-999-5835 to tell us about the conference.
  3. Submit the conference application and the required conference documentation. Applications should be submitted as soon as possible, but no later than two months prior to the event.
    • List of presenters and their credentials/qualifications (resumes or bios)*
    • Copy of conference marketing brochure
    • Copy of tentative/anticipated agenda with descriptions of each training that will be presented at the conference
    • Copy of conference program
    • Copy of conference evaluation form to be given to participants at end of conference
    • Copy of certificate to be given to participants at end of conference
  4. The agency representative enters the workshops into the MNCPD Registry via the Training Sponsor Organization home page. The workshops can be any combination of training events including approved clock hour training, CEU training, or college credit training. It is up to the conference planner to determine what format each workshop will be. Other clock hour training cannot be used by practitioners to advance on the Career Lattice. Only MNCPD approved training provided by an MNCPD approved trainer can be used to climb the career lattice. Please encourage trainers to join the MNCPD Registry and submit their training for approval. A Guest Trainer application is available for trainers who have not been approved by the MNCPD. This form can be found on the MNCPD website at www.mncpd.org. The Guest Trainer is someone who has expertise in topics relevant to Early Childhood and School-age Care, who is brought in from outside the system by a sponsoring organization to conduct an occasional workshop.
  5. The agency representative should enter the attendance for each event on the Registry. Attendance is verified when practitioners submit a copy of their training certificate to the Registry. Credit based training is verified when the workshop participant submits a transcript to the Registry.
  6. The agency representative ensures a Certificate of Attendance is provided to each conference participant that includes the following:
    • Name and Date of the Conference
    • Title of each training session
    • Competency area(s) with hours approved for each training session.
    • The total number of clock hours
    • Location of the training
    • MNCPD Registry Event # for each session
    • The name of the Sponsoring Agency
    • Space for participant's name
    • Method for indicating what sessions the participant attended (e.g., sticker method or trainer signs off on each certificate).
